All travel engagements must be agreed upon in the contract with the client company before any booking arrangements are made.
All reasonable travel expenses related to the engagement, including airfare, lodging, meals, transportation, etc., and will be billed directly to the client on a cost-plus basis unless otherwise specified in the contract.
Factory Data Systems, LLC (FDS) reserves the right to make his/her own travel arrangements, however, when possible, may use the client's preferred travel agency or platform to make bookings.
For air travel, economy class will be used for domestic flights and business class for international flights that exceed 6 hours of flight time. Exceptions may be made depending on the contract with the client.
Standard accommodation will be at a business hotel or equivalent. Any upgrades or special requests will be covered by FDS unless otherwise agreed upon in the contract.
Detailed expense reports will be provided to the client monthly or at the end of the engagement. All expenses should be supported by receipts.
Travel time will be considered billable hours at a reduced rate depending on the terms of the contract.
In the event of a cancellation by the client, the client will be responsible for any non-refundable travel expenses already incurred.
FDS will maintain adequate travel insurance. Costs associated with this insurance are the responsibility of FDS and will not be invoiced to the client.
Domestic Travel
FDS is responsible for their own health and safety while traveling. The client company is expected to provide a safe working environment at their premises.
International Travel
The client is responsible for taking all reasonable steps to ensure the safety and security of Traveling Personnel during the course of their international travel to and from the client's international facilities, as well as during their stay in the destination country.
The client agrees to conduct a risk assessment prior to the arrival of Traveling Personnel and to communicate the results and subsequent risk mitigation measures to FDS and the Traveling Personnel in a timely manner.
Security measures may include, but are not limited to:
· Secure transportation from the airport to lodging and to the client site.
· Secure lodging accommodations.
· Providing security briefings pertinent to the local threat environment.
· Access to local emergency services.
· Security personnel where deemed necessary.
The client shall provide a comprehensive emergency contact and response plan, including but not limited to emergency phone numbers, contingency plans for medical emergencies, and evacuation procedures for political unrest or natural disasters.
While the client is responsible for making reasonable security arrangements as specified herein, FDS acknowledges that security conditions may change rapidly, and the client may not be able to ensure complete safety at all times. Traveling Personnel are also responsible for taking reasonable personal precautions for their own safety.
Failure of the client to adhere to this clause may result in the postponement or cancellation of the business-related activities, at the discretion of FDS, without any liability for costs incurred due to such postponement or cancellation.
